You run through everything again. The venue's booked. The guest list is nearly finished. The catering is organised. But you still can't quite shake the feeling that something has slipped through the net.
Before you know it, you're ordering extras "just in case", creating more work for yourself and wondering if you've missed something important. I think even the most organised of us can relate to that feeling. And when you're organising a last-minute corporate event, that pressure somehow feels even greater.
The good news? Whilst none of us would choose to organise an event at the last minute, they don't have to be stressful. With a simple plan, trusted suppliers and a few practical checks along the way, they can be every bit as successful as the ones you've had months to organise.

1. Start with the Foundations
When everything feels urgent, I always go back to basics.
Before thinking about decorations, giveaways or the finer details, make sure the essentials are covered first, such as:
✔️ Where is the event being held?
✔️ How many guests are attending?
✔️ What's the budget?
✔️ What's the purpose of the event?
✔️ What's the overall message or theme?
✔️ What absolutely has to happen on the day?
Once these foundations are in place, everything else becomes much easier to organise.
2. Choose Suppliers You Can Rely On
For me, this is probably the biggest stress reducer of all. When deadlines are tight, you don't just need suppliers, you need people you trust - those who answer emails and answer the phone, are honest about what's achievable and who'll simply say: "Leave it with us."
Whenever I'm choosing who to work with, I always ask myself:
✔️ Have I worked with them before?
✔️ Were they easy to deal with?
✔️ Can they adapt if my plans change?
✔️ Are they reliable?
✔️ And perhaps most importantly... do I actually enjoy working with them?
That last one is often overlooked, but when you're under pressure, working with people you genuinely like makes the whole process so much easier.
It's something we've always believed at Pink Aubergine too. Yes, we love plenty of notice (who doesn't!), but we've also helped with our fair share of last-minute orders over the years. In fact, some of the Sunday afternoon phone calls and messages we receive still make me smile... or the ideas that suddenly pop into your head just as you've stepped into the shower! Surely that isn't just me? 😂
3. Don't Forget the Guest Experience
Once the logistics are under control, it's time for the enjoyable part.
How do I want guests to feel when they arrive... and when they leave?
People rarely remember every presentation or every agenda item - they remember the experience.

The really good coffee (none of that instant stuff!)

The atmosphere and ‘feel’ of the venue
-
The conversations
-
The thoughtful touches that made them feel valued
Maybe that's beautifully branded signage that ties the whole event together, or perhaps welcome breakfast whilst guests network.
Maybe it's branded corporate event catering, logo cupcakes for the afternoon break or personalised biscuits served alongside coffee.
Whatever it is, these small details are often what people photograph, share, talk about afterwards and remember long after they've packed their notebook and laptop away.

4. Your Last-Minute Corporate Event Planning Checklist
Before event day arrives, take five quiet minutes and run through one final checklist.
✓ Venue confirmed
✓ Guest list finalised
✓ Catering organised
✓ Branding approved
✓ Deliveries scheduled
✓ Event timeline shared
✓ Emergency contact numbers saved
✓ Welcome area prepared
✓ Coffee ordered (the good stuff ☕)
Sometimes those five minutes are all it takes to stop that little voice asking, "What have I forgotten?"
Planning a Last-Minute Corporate Event Doesn't Have to Be Stressful
Whether you're organising an event for 20 people or 2,000 delegates, the process is often far more similar than you think.
The trick isn't trying to do everything yourself.
It's having a plan, surrounding yourself with suppliers you trust and remembering that guests rarely remember every presentation... they remember how the event made them feel.
Leave your venue to worry about the venue, leave your printers to worry about the printing.
